The Alaska Court System (ACS) is recruiting for an Administrativ! e Assistant I to support the Clerk of Court, Chief Deputy Clerk, and other trial court divisions within the Fairbanks Fourth Judicial District. This position requires outstanding customer service skills and the use of independent judgment, while maintaining a high degree of confidentiality and professionalism. The position is expected to perform highly complex clerical and/or technical tasks, which if done incorrectly, carry with them a high degree of consequence of error.
The Administrative Assistant provides a variety of administrative and clerical support tasks, which include:
Respond to requests for information from internal and external customers, receive and screen calls and visitors;
Type, compose, and proofread standard and routine correspondence, agendas, minutes, reports and graphs, court newsletter, procedures, and travel claims;
Gather statistical data for review by Clerk of Court; create management reports and graphs; assist in auditing tri! al court records;
Maintain appointment calendar for Clerk ! of Court and Chief Deputy; coordinate all aspects of meetings, training sessions, and other functions as directed;
Collect, check, and forward time sheets for all Fairbanks employees to Human Resources;
Maintain Alaska Statutes, Rules of Court, Administrative Bulletins, forms index, and index of Presiding Judges' and pro tem orders for the Clerk of Court;
Serve as a backup support role to trial court accounting, to include but not limited to: deposits, disbursements, writs, updating post-judgment record of transactions, and researching accounting discrepancies;
Maintain the Fairbanks emergency operations kit, update and distribute the Fairbanks Courthouse evacuation plan, security procedures, and emergency calling tree;
Maintain inventory and order supplies for Fairbanks Trial Court and Clerk of Court's office;
Coordinate technical support for printers, faxes, and copiers for all trial court divisions;
Maintain current job postings on bulletin bo! ards, schedule interviews, prepare information for interview panels, maintain training and personnel records for all non-judicial Fairbanks employees;
Schedule travel for Fairbanks Trial Court employees reporting to the Clerk of Court;
Assist maintenance manager and organize office and furniture moves;
Cross-train as a Deputy Clerk III, courtroom case manager, and other trial court departments;
Other duties as assigned.

Minimum Qualifications:
Graduation from high school or completion of a General Education Development (GED) certificate AND two years of progressively responsible, fully qualified secretarial work experience AND the ability to type at least 40 words per minute.
Substitution:
Completion of an appropriate vocational! training course of study such as legal secretary, paralegal, or office! skills will substitute for one year of the required secretarial work experience.
A bachelor’s degree from an accredited college will substitute for one year of the required secretarial work experience.
Twelve months of work experience performing general clerical work that demonstrates work skills equal to those of a Deputy Clerk II with the Alaska Court System will substitute for one year of the required secretarial work experience.
