Location: Anchorage, Alaska

We are recruiting to fill a Law Office Assistant II position; a rewarding job for someone who understands how important the criminal justice system is to the health of a community. This is a supervisory position that provides administrative support for the Anchorage District Attorney's Office. We are looking for someone with a good work ethic and administrative experience. The incumbent must be capable of dealing with a high volume of work, be detailed oriented, and be flexible as priorities change constantly. Attendance and punctuality are critical components to the success of this position. The Law Office Assistant II position supervises at least four Law Office Assistant I positions.

Key responsibilities include:
Supervisory responsibilities include monitoring day-to-day work assignments, ensuring deadlines are met, recruiting and training new Law Office Assistants; coordinating and authorizing leave to ensure staffing is adequate enough to complete work assignment; recommending resolutions or resolving employee problems and complaints; evaluating employee performance, and devising ways to streamline work procedures to make them more efficient;
Typing and formatting a variety of legal documents and general correspondence;
Ensuring that work product meets legal and judicial requirements and deadlines;
File maintenance in both electronic and physical format;
Entering data and retrieving information from an electronic database;
Initial point of contact by phone and in person to provide assistance to members of the public and other agencies; and
Performing general clerical duties, including, but not limited to: scanning, photocopying, faxing, mailing, and filing.
The successful candidate will have the following desired strengths:
One (1) year of legal experience working in an attorney's office, either civil or criminal;
The ability to supervise and lead by example as well as accept supervision and instruction;
The ability to work calmly and productively under frequent deadline pressure and changing priorities in a distracting, fast-paced work environment with frequent interruptions;
The ability to use sound, independent judgment within established guidelines;
The ability to handle and maintain confidentiality of highly sensitive information with discretion, tact, good judgment, and accuracy;
Well-developed editing, proofreading, grammar, composition, punctuation, and spelling skills;
Strong computer skills utilizing Microsoft Word, Excel, and Outlook and experience entering data into a database;
Ability to develop and to maintain cooperative working relationships with a wide variety of people in all levels of the department;
The ability to work well in a team environment, where cross training and coordination of duties with other employees is a must; and
Experience that demonstrates strong oral and written communication skills.
Applicants should be aware that due to the nature of the work being done in this office, the incumbent must have the ability to tolerate exposure to graphic pictures, coarse language, and detailed descriptions of sometimes horrific criminal acts. The incumbent must also maintain the strictest of confidences with information they will be exposed to and have access to. Special Note:
The successful candidate must pass a comprehensive background investigation, which includes a criminal history check.
WEEKEND DUTY
This position requires, on a rotating basis, coverage on weekends and holidays. Rotation varies and is approximately once every 2-3 months.

MINIMUM QUALIFICATIONS:
One year of clerical experience in a law office, or clerical experience that included preparing, reviewing, or processing legal documents (such as affidavits, court reports, demand letters, discovery requests or responses, entries of appearances, hearing transcripts, memoranda of advice/instruction, motions, legal opinions, subpoenas, writs, etc.).

OR

One year of experience as sole clerical staff providing a range of administrative support for multiple professionals in a stand-alone office or leading the work of two or more other staff in a clerical unit.

Substitution:
Post-secondary education from an accredited college in law, business administration, criminal justice, legal support, or a social science may substitute for the required experience (3 semester hours/4 quarter hours equal one month).

DPS will deny security clearance for any applicant who has been convicted of a felony or misdemeanor in this state or another jurisdiction, or who may be a fugitive from justice. Additionally, security clearance will be withdrawn if DPS discovers that material information was falsified or omitted at the time of the initial application for security clearance.
