The Alaska Court System (ACS) is recruiting for a Deputy Clerk II within the Records Division of the Anchorage Trial Courts. Under general direction, ! the Deputy Clerk II duties include Record custodian, exhibit, audio duplication, file retention, and archival research. The position is also responsible for refiling case files, delivering cases for daily calendars to divisions and chambers located in the Boney and Nesbett Buildings, and certifying, processing, and time/date stamping filings.

RECORDS:
Receive, index, and create file folders with labels and deliver to judge; safely keep all items stored separately from case files, including confidential and sealed items and other high-risk sensitive items;
Maintain computerized index and inventory of items stored by case number, location, and item code;
Fill exhibits requests when needed by judges, in-court clerks, and Appeals Division, prosecutor's office, attorneys, and/or litigants;
Coordinate pick-up of items with Alaska State Troopers and/or Anchorage Police Department; release exhibits to attorneys and litigants by mail or pick-up;
R! efile by case number and case type; coordinate space location ! for all items stored with case file; maintain exhibit storage locations.

TAPE DUPLICATION:
Process requests of audio from court proceedings for state agencies, attorneys, litigants, judges, court personnel, and the public;
Duplicate audio to CD's and tape from Court Smart and other formats; notify requester of completion or status of request;
Process requests for confidential or sealed hearings; research who may receive the audio and determine if an order is needed from the judge to release the information;
Ensure proper documentation is presented prior to making copies and distribution.

FILE RETENTION:
Pull closed and non-active civil, criminal, and small claims files according to retention schedule; research each file to determine it can be sent to Records Management Services (RMS) for archiving;
Create space in the file room for current and future year case files; make archival box number, scan label and scan each f! ile to the box number; make index sheets listing each file in box and send with box to RMS.

CUSTODIAN:
Mass scan files from various divisions from scan locations to shelf, and refile accordingly; distribute filings from Civil and Small Claims cases being heard that morning;
Deliver expedited motions to chambers; pick up search warrants and exhibits from Criminal Division; verify, index, and deliver to exhibits storage;
Make twice-daily pickups and deliveries to and from all divisions, judges' chambers, ACA and Clerk of Court offices; transport exhibits, deliver to requester, return to exhibits storage, process and refile;
Execute emergency file requests from courtrooms and process file search requests for wayward files;
Execute billing invoices for research fees and copies made.
The list of applicants generated from this recruitment may be used to fill any future vacancies of this job class in the Anchorage Records Division occurring ! within 60 days of the closing date.

Minimum Qualifications:!
Graduation from high school or completion of a General Education Development (GED) certificate AND one year of office clerical experience AND the ability to type at least 40 words per minute.

Substitution:
Additional office clerical work experience will substitute for the high school diploma or GED certificate on a month-for-month basis.
Completion of 36 semester credit hours or 48 quarter credit hours of coursework from an accredited college will substitute for the year of required office clerical experience.
Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for the required office clerical experience on a month-for-month basis.
