For detail informations about this position opportunity kindly read the description below. The Kenai office of the Public Defender Agency has an opening for an Office Assistant I position. The Kenai office consists of eight attorneys, one investigator, two ! paralegals, two law office assistants, and one office assistant. The duties of this position include (but are not limited to) the following:
Answer incoming calls, greet clients and the public, and perform a wide range of reception services such as receiving and prioritizing inquiries, responding to routine requests for information, and/or assessing the nature of an advanced request and referring it to the appropriate higher-level staff;
Maintain and update database with information obtained from all incoming documents;
Log, scan, copy and redact discovery and police reports received by the agency.
Research court files;
Review incoming paperwork;
Pick up, receive, open, date stamp, sort, and distribute mail and/or other materials;
Perform routine examinations of documents, histories, and other articles, using databases, software applications, and spreadsheets;
Closing, scanning, and archiving files;
Organizing and collating information in! a useful format for negotiation and/or litigation;
Prepar! e case files and file documents. Maintain files by predetermined alpha and/or numeric systems; file, enter, retrieve, and distribute reports and records; archive closed files, label boxes, and enter specified information into relevant databases;
Respond to request for general information from the public, clients and other agencies by phone or in person;
Create labels for files, mailings, and photos; type or generate cards, envelopes, labels, folders, and simple memoranda according to specific instructions;
Photocopy documents and collate, assemble, and distribute materials as assigned; copy materials, forms, and correspondence and perform related special projects as requested by staff. Prepare documents for the imaging process by removing staples, attached notes, flags, and paper clips;
Maintain tracking/spreadsheet specific to conflict files and serve as point of contact for tracking of conflict files;
Provide general administrative support for the sect! ion or unit;
Other duties as assigned. Interested candidates should have some of all of the above knowledge skills, abilities, and experience:
Ability to handle multiple tasks and continue to meet deadlines despite frequent interruptions;
Ability to follow and give clear written and oral instructions;
Previous work experience handling confidential and sensitive documents;
Ability to relay information accurately between attorneys and clients via phone, email, and in person.
Minimum Qualifications:
High school diploma or the equivalent.
AND
Six months of experience that includes clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.
Substitution:
Education from an accredited college may substitute for the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of v! ocational education equal one month of experience).
A Career R! eadiness Certificate with ACT WorkKeys® scores of skill level 3 or higher in Locating Information, skill level 3 or higher in Applied Mathematics, and skill level 3 or higher in Reading for Information will substitute for the high school diploma and required experience.
Special Note:
“High school diploma equivalent" means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.
