Law Office Assistant I (PCN 02-1321)

More details about this career opportunity please read the description below. The Anchorage office of the Public Defender Agency has an opening for a Law Office Assistant (LOA) I position. The Public Defender Agency’s mission is to provide constitutio! nally mandated legal representation to indigent clients appointed by the court.
This position is in the criminal section. The criminal section represents defendants accused of committing crimes ranging from misdemeanors to felonies. Viewing of graphic crime scene photos and reviewing police reports is an essential function of the job. The criminal section consists of approximately twenty five attorneys, three paralegals and seven LOAs. The duties of this position include (but are not limited to) the following:

Answering the main phone line for the office.
Open files in database and generate corresponding forms.
Log, scan, copy and redact all discovery and police reports received by the agency.
Calendar upcoming court hearings.
Research court files.
Review incoming court documents.
Process outgoing mail.
Closing, scanning, and archiving files.
Prepare legal documents such as pleadings and correspondence in draft and final form in ! accordance with deadlines, court rules and prescribed departme! nt formats and requirements.
Reviewing, preparing, notarizing and filing legal documents.
Respond to request for general information from the public, clients and other agencies by phone or in person.
Serve as a contact person and liaison between the staff and individuals outside the agency to: relay and explain case status, court appointment of legal counsel, purpose of forms and correspondence and date and time of court appearances.

Interested candidates should have some of all of the above knowledge, skills, abilities, and experience:
Proficiency in Microsoft Word, Microsoft Outlook (email and calendar systems), Adobe Professional and the internet.
Ability to quickly learn internal case management system (PM).
Excellent customer service skills, ability to deal with persons from various socioeconomic backgrounds.
Ability to work independently, take initiative, exercise sound judgment, and follow directions with minimal supervision.
! Ability to adapt to changing priorities, work effectively in high pressure situations, successfully manage multiple tasks, and continue to meet deadlines despite frequent interruptions and conflicting tasks.
Ability to communicate in an effective and professional manner.
Previous work experience handling confidential and sensitive documents.

Special Notice:
In order to be granted access to the Alaska Public Safety Information Network (APSIN) and Alaska Corrections Offender Management System (ACOMS), the individual who is selected for this position will be required to pass a background investigation and may be fingerprinted. Full disclosure of ALL past criminal convictions (both misdemeanor and felony) at the time of application is required. Convictions may lead to disqualification due to the requirements necessary to access these systems.

Minimum Qualifications:
High school diploma or the equivalent;
AND
Six months of ! experience performing work that required keyboarding skills, proficienc! y in the use of office information technology, and oral and written communication skills.

Special Note:
“High School Equivalent” includes a G.E.D., or completion of any basic education course of 480 class hours (16 weeks at 30 hours per week), or six months of work experience performing duties related to the job class, or twelve months of work experience involving some routine tasks related to the job in question or highest grade of school completed plus amount of work experience which totals 12 years.

Most positions require incumbents to be able to obtain a Notary Public Bond and to be able to pass a criminal background check to meet security requirements for using criminal record networks such as APSIN and NCIC/NLETS. If this requirement is present, it will be stated in the vacancy announcement.

Some positions are required to work regular overtime on weekends and/or holidays to provide support to the assigned duty attorney. If thi! s requirement is present, it will be stated in the vacancy announcement and in the Position Description.
