BBR Partners is a rapidly growing company providing investment and wealth management services to high-net-worth individuals and families. The firm, originally founded in early 2000, now manages over $25+ billion in assets. We are looking for an Executive & Personal Assistant to provide comprehensive administrative and lifestyle support to 1-2 C-level Executives.

This role will require personal integrity, good judgment in handling sensitive and confidential matters, and exceptional interpersonal and organizational skills. Excellent attention to detail, and timely, independent execution of responsibilities are necessary in this fast-paced environment. The individual must be a responsible team player who is adept at problem solving, creating solutions, and knowing when to escalate issues. The Assistant must demonstrate flexibility and comfort in collaborating with colleagues across departments and seniority levels, as well as with external parties. An innate enthusiasm for providing exceptional client service is welcomed.

Your Responsibilities

  • Provide comprehensive administrative and lifestyle support to the executive and family, maintaining the utmost level of care, consistency, and confidentiality
  • Effective management of ever-changing and very active professional, philanthropic, and personal calendars
  • Answer and manage incoming calls and determine necessary involvement or escalation
  • Coordinate a heavy international and domestic travel schedule via private and commercial carriers
  • Create detailed, custom travel itineraries (we do not work with travel agencies)
  • Expense report preparation using Concur
  • Coordination of internal and external meetings, including reserving conference rooms, scheduling videoconferencing, and catering
  • Track and manage schedules for outside charitable and Board commitments and giving
  • Work proactively with senior leaders providing helpful information on upcoming meetings, commitments, and responsibilities
  • Track pending tasks and workflows until completion
  • Prepare, proofread, edit, and compile presentation materials for senior management and Board meetings
  • Collaborate with the broader administrative team, jumping in to help as needed with coverage, onsite events, etc.
  • Work with the family's Personal Assistant to plan personal travel and appointments, and handle medical and insurance billing
  • Triage needs as they arise for multiple residential properties
  • Liaise with personal attorneys, bankers, and accountants
  • Work on interesting and stimulating projects as assigned

Preferred Qualifications

  • Minimum 5 years of successful experience in a client-driven environment, supporting senior executives with business and personal requests
  • Demonstrated ability to prioritize and manage multiple projects concurrently
  • Advanced proficiency in Microsoft Office Suite/365 and knowledge of SharePoint, Teams, Concur and DocuSign a plus
  • Exceptional interpersonal and organizational skills; friendly and professional demeanor and ability to build rapport quickly
  • Strong verbal and written communication skills with a high level of accuracy and responsiveness; service-oriented and proactive
  • Excellent attention to detail and uncompromising commitment to confidentiality, quality, client service and BBR's core values of Empathy, Integrity and Rigor
  • Proven ability to work well in and contribute to a team environment
  • Flexibility to work overtime as needed, sometimes with limited notice
  • Ability to work on-site in Manhattan headquarters 3 or more days per week

Additional Information

Base salary for this position will be determined during the interview process and will vary based on multiple reasons, including but not limited to prior experience, relevant expertise, current business needs, and market factors. The expected base salary for the role will generally be between $90,000 and $140,000 per year at the commencement of employment, but the final salary offered may be outside this range based on these reasons and individual circumstances. Additionally, base salary is only part of the total compensation package, which, depending on the position, may also include discretionary bonuses, alternative incentive packages and Company-sponsored benefit programs. This position is at-will, and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
