Senior Records Coordinator (temporary)

Under the general direction of the Records Liaison, the incumbent will be responsible for implementing the Barrow Records Program. The incumbent will work with each Records Coordinator for all Barrow companies (i.e. ASRC Corporate, Eskimos Inc., Barrow, Tundra Tours, Inc. and Arctic Education Foundation, Inc.) to implement the policies and procedures for records inventory, retention and authorized destruction.
Detailed Description
1.
Become familiar with authorized policies, forms and proc! edures for Barrow Records Program, including Â"one-time-purgeÂ! " and inventory procedures, records retention process and authorized destruction procedures.
2.
Organize a Barrow Records Center where Records Coordinators can receive training, do records work, and get help implementing the Barrow Records Program in their department/company.
3.
With assistance from the Records Liaison, continue developing the existing network of Records Coordinators for Barrow Corporate/companies.
4.
Works with Records Liaison and Senior Management to identify Â"Data OwnersÂ", i.e. department heads, managers or supervisors, who are designated responsibility for the various groups of records the department/company creates, retains and authorizes for destruction under the Barrow Records Program.
5.
Using the Records Center, helps each department/company set and complete performance mile stones e.g. finish their one-time purge or begin their records inventory, set up heated storage and re! tention areas, locate shelving, coordinate labor, delivery of new boxes, authorize destruction of old boxes and have them transported to the NSB incinerator, etc.
6.
Works with Corporate Staff Attorney and Records Coordinators to make sure Barrow Records Program training materials are available for each Records Coordinator to use when training new employees on the department/company records policy and procedures.
7.
Annually coordinates a Barrow Â"file clean up weekÂ" to help Records Coordinators remove and authorize destruction of expired records, review permanent records, and make sure records to be retained are inventoried and properly archived.
8.
Works with Corporate Staff Attorney to prepare updated statements of Barrow Records Program policy and procedures.
Obtains concurrence of Human Resources and Operations approval before implementing updates.
9.
Working with the Corporate Staff Atto! rney, sets up and assists with training seminars for company managers a! nd Records Coordinator to make them cognizant of changes in the Barrow Records Program.
10.
Works with Legal Department to quarantine any records involved in ongoing litigation until case is settled or records are released by Legal Department; works with accounting to quarantine identified records to be placed on Â"holdÂ" pending audit or other accounting matters, until released by Accounting Department.
Additional Responsibilities:

Assists the Barrow Records Coordinator in overseeing Barrow Inventory and Records Program responsibilities for their own department/company, under the supervision of their designated Data Owners(s).
12. Ensuring that the Records Coordinators are being held accountable for training every employee in their respective department/company on basic procedures for the creation, retention and destruction of records, in accordance with the Barrow Records Program.
Job Requirements
1.
Strong knowledge, understanding and sensitivity to the Inupiat culture.
2.
The ability to speak and understand the Inupiaq language is preferred.
3.
Ability to show up daily, on time, and perform job functions consistently, to required standards, with minimum supervision.
4.
Ability to accurately type a minimum of 40 wpm.
5.
Good working knowledge of English, grammar, punctuation, spelling, style, etc.
6.
Clear communication skills.
7.
Good telephone skills, including ability to speak to the public and company employees in a friendly and courteous manner.
8.
Ability to operate standard office machines, including Microsoft Word program, fax machines, copy machines and Microsoft Outlook Express email program.
9.
Strong organizational skills required.
10.
Knowledge of efficient office procedures.
11.
Must be a Â"self-starterÂ" with enthusiasm for project ! coordination.
12.
High school graduate or equivalent.
13.
At least two years of college-level education in librarianship or business management, or a high school graduate or equivalent with two years on-the-job training in similar position.
14.
Must have a valid Alaska driverÂ's license and be able to drive non-commercial, automatic transmission motor vehicle.
