Law Office Assistant I (PCN 02-1357)

The Anchorage office of the Public Defender Agency has an opening for a Law Office Assistant (LOA) I position.

The Public Defender Agency’s mission is to provide constitutionally mandated legal representation to indigent clients appointed by the court. This position is in the administrative section. The administrative section supports the Agency on a statewide basis.

The duties of this position may include, but are not limited to, the following:
Answering the main phone line for the office;
Open files in database and generate corresponding forms;
Log, ! scan, copy and redact discovery (police reports and the like r! eceived by the agency);
Calendar upcoming court hearings;
Research court files;
Review incoming court documents;
Process outgoing mail;
Closing, scanning, and archiving files;
Prepare legal documents such as pleadings and correspondence in draft and final form in accordance with deadlines, court rules and prescribed department formats and requirements;
Reviewing, preparing, notarizing and filing legal documents;
Respond to request for general information from the public, clients and other agencies by phone or in person; and

Serve as a contact person and liaison between the staff and individuals outside the agency to: relay and explain case status, court appointment of legal counsel, purpose of forms and correspondence and date and time of court appearances.
Interested candidates should have some of all of the above knowledge, skills, abilities, and experience :

Proficiency in Microsoft Word, Microsoft Outlook (email and ! calendar systems), Adobe Professional and the internet;
Ability to quickly learn an internal case management system (database);
Excellent customer service skills, ability to deal with persons from various socioeconomic backgrounds;
Ability to work independently, take initiative, exercise sound judgment, and follow directions with minimal supervision;
Ability to adapt to changing priorities, work effectively in high pressure situations, successfully manage multiple tasks, and continue to meet deadlines despite frequent interruptions and conflicting tasks;
Ability to communicate in an effective and professional manner; and

Previous work experience handling confidential and sensitive documents.

Minimum Qualifications:
High school diploma or the equivalent;
AND
Six months of experience performing work that required keyboarding skills, proficiency in the use of office information technology, and oral and written communicat! ion skills.

Special Note:
“High School Equivalent! ” includes a G.E.D., or completion of any basic education course of 480 class hours (16 weeks at 30 hours per week), or six months of work experience performing duties related to the job class, or twelve months of work experience involving some routine tasks related to the job in question or highest grade of school completed plus amount of work experience which totals 12 years.

Most positions require incumbents to be able to obtain a Notary Public Bond and to be able to pass a criminal background check to meet security requirements for using criminal record networks such as APSIN and NCIC/NLETS. If this requirement is present, it will be stated in the vacancy announcement.

Some positions are required to work regular overtime on weekends and/or holidays to provide support to the assigned duty attorney. If this requirement is present, it will be stated in the vacancy announcement and in the Position Description.

TYPING TEST
