Job Posting Summary
This position is a term-funded position through June 30, 2013 and is reviewed annually for contract renewal at the University's discretion. The Office of Admissions & the Registar (OAR) provides vital admission, transfer credit, registration, and graduation services to prospective and current students, staff, faculty, and other members of the University of Alaska Fairbanks (UAF) community. Credentials evaluation specialists are essential members of the OAR Transfer Credit Team, which processes credit evaluations for approximately 2500 transfer students annually.
Knowledge, skills and abilities required for this position.
Demonstrated computer skills with a PC in a Windows environment; ability to adapt to new technologies and computer systems; sufficient computer knowledge to learn relational database maintenance; knowledge of accurate data ent! ry procedures; customer service skills; analytical and problem solving skills; ability to accurately classify, store and retrieve information; ability to prepare correspondence using accepted business correspondence standards; ability to communicate effectively in a multicultural environment with tact, diplomacy and professionalism with students, parents, faculty, staff and administrators; ability to listen to issues empathetically and exercise good judgment in execution of resolutions; ability to work as an effective team member and independently; ability to prioritize and organize a high volume of work, with many interruptions; ability to make accurate mathematical calculations; ability to make equivalency decisions in accordance with policy and past practices; ability to determine the best way to apply credit to a student's degree program; ability to apply complex rules, regulations, policies and procedures; ability to conduct research; ability to lead student assistant ! position; ability to recommend new processes and procedures.
T! ypical education or training required for this position (including licenses).
Associate degree and two or more years of relevant experience in a postsecondary education student services or customer service environment, OR an equivalent combination of training and experience. Bachelor degree preferred.
Length of time and type of experience required for this position.
Minimum of two years of experience working in a postsecondary education student services or equivalent customer service environment. Experience in analyzing and solving problems, multi-tasking, working independently and as a member of a team. Computer, data base software, and word processing experience are necessary.
Preferred knowledge, skills or abilities for this position.
Formal education beyond the associate degree (bachelor degree preferred); experience in transfer credit evaluations or relevant postsecondary education environment; knowledge of UAF catalog, admi! ssion requirements, and academic degree programs; knowledge of Banner and OnBase systems; knowledge of DegreeWorks and CollegeSource/TES software; ability to interpret policy; ability to keep up-to-date in a constantly changing environment; ability to multi-task and prioritize; ability to work under stressful conditions with a high volume workload.

Duty:
REVIEW, EVALUATE AND POST TRANSFER CREDIT
Review, research, and evaluate transcripts submitted in transfer from other universities and colleges. Research the accreditation status, grading system, course levels, and degree program contexts for each institution fro! m which a course is being transferred. Using multiple resources, independently judge transfer equivalency for each course (over 35,000 annually) and determine UAF equivalency. Post award of transfer credits to UAF transcript (over 109,000 credits annually, from over 900 institutions). Evaluate and post to UAF transcript transfer work from non-traditional sources, including AP, CLEP and DSST exams, licenses and certificates, military service, and prior learning experiences. Maintain a strong working knowledge of international credential evaluation processes. Provide evaluation services and expertise to all branch sites of UAF. Post graduate level transfer courses, once approved by Graduate Advisory Committees.
COMMUNICATE WITH STUDENTS, FACULTY AND STAFF
Maintain current and historical knowledge of the interpretation and application of transfer credit evaluation policies and practices and provide interpretation of academic regulations and requirements for studen! ts, faculty, staff and advisors as they pertain to transfer coursework.! Provide regular follow-up and clarification regarding catalog policy and course equivalency decisions to students, staff and advisors via phone, email and in person. Serve as a resource for all matters pertaining to UAF's unique transfer credit evaluation processes within the Office of Admissions & the Registrar. Serve as a specialist on all inquiries regarding transferability of credits, coursework, test scores, and non-traditional credit, including explaining why courses did not transfer or meet certain requirements. Collaborate with student participants, faculty, and the National Student Exchange (NSE)/International Student Exchange (ISE) advisor to efficiently apply exchange program credits to UAF degree programs. Generate transfer credit equivalency reports for distribution to students and advisors. Work with faculty as needed for course approvals within their departments. Consult other UAF and UA Transfer Credit team members to promote efficient exchange of informati! on. Work cooperatively with OAR Graduation Services. Use DegreeWorks degree audit software to confirm that transfer credit is feeding as expected into degree audit. Work with OAR Scheduling and Registration to ensure transfer credit data flows smoothly to meet course prerequisite requirements.
SERVICE MEMBERS OPPORTUNITY COLLEGES (SOC) AND GOARMYED
Review and approve or deny coursework from other SOC Degree Network System (DNS) participant institutions for transferability. Learn SOC and GoArmyEd rules necessary to facilitate seamless administration of SOC agreements. Provide SOC agreements to all active duty Army in UAF's fully-developed SOC programs via the GoArmyEd portal and to active duty members of other branches of the military, spouses, and dependents upon request. Communicate with SOC as needed to resolve issues that can't be resolved at the institutional level. Evaluate and post credit to academic and SOC records. Code SOC data in Banner to provide rep! orts upon request. Communicate with military Education Officers, studen! ts, and staff to troubleshoot institutional issues that arise in the GoArmyEd portal.
MAINTAIN RECORDS AND POLICIES
Maintain confidentiality of records as required by the Family Educational Rights and Privacy Act (FERPA). Maintain an archival library of historical catalogs. Via the Assistant Registrar for Transfer & Military Services, provide feedback to administrators regarding concerns related to transfer credit policies and integrity of practices. Work with transfer evaluations teams at UAA and UAS to improve the transferability of UA coursework and the ease in which students can use cross-MAU coursework for degree completion. Create, update, and manage a dynamic transfer credit website for students, faculty, staff, and the general public. Participate in the development and maintenance of documentation of procedures.
SYSTEMS TESTING, MAINTENANCE AND PROJECTS
Responsible for in-depth testing for regular system upgrades to the administrative softw! are programs (Banner and OnBase) and making recommendations for corrections and enhancements. Work with project teams on the implementation of new software as needed. Participate in University of Alaska Statewide Transfer Credit Work Team meetings.
ASSIST OFFICE OF ADMISSIONS & THE REGISTRAR (OAR) AS ASSIGNED
Help with busy OAR phone queue during daily assigned times; provide answers to broad range of questions regarding admissions, registration, scheduling, graduation services, recruitment, transfer credit and general campus information. Navigate UA Online and UAF website in order to walk through processes with, and provide information to, students as needed. Meet UAF Student Services goal of providing excellent customer service. Serve on hiring committees as needed. Help with OAR events when necessary. Work on special projects when required.
